All the Soccer Registrar components are accessed through the Admin interface. Access to components and functionality is controlled by Access Permissions assigned to each individual user account. You can control people's access to data so they can only see what they are allowed to see, and only update what they are allowed to update. For example the financial information can be restricted to only be viewed by the registrar and treasurer, and only be updated by the treasurer. 

Registered players are organized and managed by Program. Each player's personal information, registration status, fees and other information collected during registration is accessible to authorized users. Information available to each user depends on their access level.

Player communication through email can be based on Program with a variety of filter options like division and gender, or through team list emails.

Team coordinators create teams based on player registrations. Soccer Registrar filters eligible players based on team and software settings, for example no boys on girls teams, how many divisions the player may play up, and not already assigned to another team.

Once team officials are assigned to a team, they may access the team information and team lists. The team officials may view the team list, print team lists for games, email their team, etc.

When team officials register on-line it’s considered an application. Not until they are assigned to a team do they become an active team official. Having coaches register not only simplifies team creation but also allows you to track their criminal checks and communicate via email. You can email all coaches, or just coaches for selected divisions. Once a team official has been assigned to a team, they may access the team information using their login credentials. The team officials can view the team list, print team lists for games, email their team, etc. 

During player registration, you may capture volunteer information, and tasks that people would like to assist with. The captured volunteer information is saved in the database for searching by task, and to track who has completed their volunteer commitment.

In larger organizations, many tasks are divided amongst coordinators, for example house team coordinators, or tournament coordinators. The coordinators will usually require access to the information stored in Soccer Registrar but with more limited access than a normal Admin user account. The coordinator account serves this purpose where access to data can be granted based on Program, gender, level and/or division. Access to the Program data is only available while the Program is open.

If you provide referees and assistants for your home games, you can use Soccer Registrar to track them and their assignments. If you assign a referee to a game, Soccer Registrar will email the referees and capture their acceptance or rejection of the assignment. The status of acceptance is available as a report and shown in the game schedule. Referees may also submit game reports directly to Soccer Registrar for access by others.

Game scheduling can be used for displaying upcoming home games on your web site, with links for emailing the team contact. Soccer Registrar will only display upcoming games, always keeping the display current. The status of the assigned referee is displayed on the internal schedule, not the public schedule.

Soccer Registrar allows you to run as many simultaneous registrations as you need. For example you can collect registrations for youth soccer, adult soccer, and technical sessions all at the same time, with customized forms and fee structures for each. Fee structures can be customized in a variety of ways with early and late fees, family discounts, supplemental fees, fundraiser fees, and more. The system automatically calculates all the fees during registration.

Team officials apply online to be entered into the Soccer Registrar database. This ensures complete and accurate tracking for Risk Management purposes. A team official must be entered into the database before they can be assigned to a team. Once a team official has been assigned to a team, they can log in to access the team list and/or email the team.

The objective of the Soccer Registrar hosted web site is to make it simple for non-technical people to build and maintain a web site that does not depend on web developers. As such, the built-in web site uses a simple generic web site framework as shown in the image above. Each page defined for the web site may be be customized, within the framework, to include the web components you desire. The framework may be changed to the extent of including left and/or right columns as desired.

Soccer Registrar's web components are pre-formatted content templates for displaying information on the web site. You may include multiple components on a page, and intermix them as required. Web components include:

• date sesitive news or announcements
• information, including FAQ
• field status
• events, a simple calendering component
• contacts
• registration links
• team official login

Enter content for the web components is a simple process. Forms tailored for each component capture the meta data and where to display the content. The content itself is entered using a word processor type interface that allows you to format the text, insert links and images.

If your organization already has a web site, you can still make use of Soccer Registrar's web components. The inclusion of the Registration Links Coach Log in components will help integrate Soccer Registrar with your existing web site.

Licensing Fees

Soccer Registrar license fee is a single pre-paid annual fee of $500 plus applicable taxes. The license fee includes:

• Access to all the functionality of Soccer Registrar.
• Hosting of your database on our Canadian Server.
• Daily backup of database. Backup data is stored in an off-site storage facility.
• Secure access using SSL when using the soccerregistrar.com domain.
• Email service for sending emails from Soccer Registrar.
• Soccer Registrar based Web site hosting.
• 24 by 7 availability except for planned outages.

There is a one-time configuration fee of $100.

On-line Merchant Fees

All on-line payment processing through Soccer Registrar is handled by third party merchants. Soccer Registrar does not capture and store credit card information. We currently support PayPal, Beanstream and Moneris for on-line payment processing of registration fees. There is no commission or processing fee charged by AKTIV Software Corporation for the processing of on-line payments.
